CONFIDENTIAL SECRETARY

POSITION SUMMARY


This is an executive position that involves the exchange of sensitive and private communications.

DUTIES AND RESPONSIBILITIES
Drafts, transcribe and distribute mails and correspondences
Answers telephone calls and handles callers appropriately
Attends to daily correspondences
Maintains filing system both in electronic and hard copies
Creates and maintains calendar of appointment schedules, events and meetings
Performs general secretarial duties
Performs such other lawful duties as may be assigned from time to time by management

QUALIFICATIONS
HND in Secretarial Studies
Proficiency in computer use and multimedia applications
Excellent written and oral communication skills as well as interpersonal relations
Ability to work under pressure with utmost discretion

GROUP COMPANY SECRETARY

JOB DESCRIPTION

Reporting to the Chairman/Board of Directors. He/she is responsible for ensuring that the unit companies Group comply with financial, legal and statutory requirements and maintain high standard of corporate governance.

DUTIES AND RESPONSIBILITIES

Organising and preparing agendas and papers for board meetings, committees and annual general meetings (AGMs);
Taking minutes, drafting resolutions, lodging required forms and annual returns with the Corporate Affairs Commission;
Following up on actions from meetings;
Maintaining statutory books, including registers and members, directors and secretaries;
Paying dividends and managing share option schemes;
Liaising with the Ministry of the Interior regarding expatriate quota positions and the Group and filing monthly returns of expatriate quota with the Immigration Department;
Advising members of the legal, governance, accounting and tax implications of proposed policies;
Monitoring changes in relevant legislation and the regulatory environment and taking appropriate action;
Liaising with external consultants and advisers, such as solicitors and auditors;

QUALIFICATIONS AND EXPERIENCE
Holder of a University first degree in Humanities or Law (LLB, BL);
Membership of the Institute of Chartered Secretaries and Administrators of Nigeria (FCIS) is mandatory;
Proficiency in MS Office Word, Excel,Power Point and Outlook;
Aged between 40 and 50 years;
Not less than 10 years statutory secretarial experience in a reputable firm or an industrial/commercial concern;

Interpersonal skills and the ability to work well with people atall levels;
Attention to detail and a well-organised approach to work;

Diplomatic skills, paying meticulous attention to detail, and numerical, organisational and time management skills and a genuine interest in business.

EXECUTIVE ASSISTANT / OFFICE MANAGER

DUTIES AND RESPONSIBILITIES

The successful applicant, preferable candidate, will have responsibilities for the following:
Managing the administrative function of the Chairman's office
Planning, organizing and managing the Chairman's event and meetings
Attending high level meetings an behalf of / with the chairman
Attending to Chairman's visitors, calls and other correspondence
Liaising with the public and staff on behalf of the Chairman
Reviewing confidential emails and correspondences with utmost discretion
Overseeing members of staff in the Chairman's unit
Keeping records of all contacts on behalf of Chairman
Filing, taking dictations, typing and keeping Chairman's Diary etc.

QUALIFICATIONS AND EXPERIENCE
A University first degree in a Humanity, Law or Secretarial Studies
A masters degree would be an added advantages
Minimum of 10 years experience of supporting top executive in a large organization
Excellent human relations and interpersonal skills
Professional qualification/membership of a recognized body
Ability to perform with precision and confidence to work under pressure
Excellent planning and organizational abilities
Ability to communicate effectively with all levels of Management and staff
Strong written and oral communication skills
Excellent presentation skills
Proficient in MS Office Word, Excel, Power point and Outlook
